1. To provide high level administrative support to the Managing Director (MD) and Senior Management Team (SMT), and undertake a variety of administrative, secretarial, and ad hoc tasks. 3. The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.
4. Provide administrative and secretarial supports to the Managing Director and SMT
- Process and follow up all requests and formalities to make sure all admin tasks are carried out smoothly with minimal supervision.
- Handle and provide the full range of secretarial duties/assignments e.g., maintain schedule and calendars, coordinate management meetings and take meeting minutes, file documents, manage travel & accommodation reservations etc.
- Liaise with related internal and external parties for appointments, meetings, booking & reservations, including correspondence properly, timely, with appropriate manners.
- Read, check, and analyse incoming memos, submissions, and reports to determine their significance before signature. Filing, preparation, collation and distribution of supportive documentation, notes, and correspondence
- Prioritise and ensure that reports, business papers and correspondence are dealt with efficiently and promptly.
- Handle calls and inquiries in appropriate manner and effectively.
- Deal with matters requiring attention, or refer them to the appropriate person in the absence of the MD.
- Arrange, coordinate, and facilitate all agenda durin on-site.
5. Special assignments/projects
- Accountable for all special projects as allocated by MD and SMT by planning, executing, monitoring, and controlling to make sure that all assignment tasks are accomplished.
- Communicates with stakeholders, clients, visitors to achieve aims of projects.
- Monitor progress of projects. Prepare reports on progress and implement actions
6. Strengthen professional relationship with colleagues and key contacts outside organisation & communication
- Support colleagues at any time.
- Be the voluntary mentor of new joiners to support her/him to on board and network with other colleagues.
- Establish and maintain professional relationships with key outside contacts.
- Support project teams i.e., handle exhibitors, assist the registration counter.
