Key Responsibilities:
1. Administrative Support:
• Manage and maintain the executive’s calendar, including scheduling meetings and appointments.
• Coordinate travel arrangements, including flights, accommodations, and itineraries.
• Draft, proofread, and organize correspondence, reports, and presentations.
2. Meeting Coordination:
• Prepare agendas, briefing materials, and presentations for meetings.
• Take detailed minutes during meetings and ensure follow-up on action items.
• Coordinate with internal and external stakeholders to schedule and facilitate meetings.
3. Communication Management:
• Act as the primary point of contact between the executive and internal/external stakeholders.
• Screen and prioritize emails, calls, and messages, ensuring timely responses.
• Draft and respond to communications on behalf of the executive when appropriate.
4. Project Management:
• Assist in planning, tracking, and executing strategic projects.
• Conduct research and provide insights or recommendations to support decision-making.
• Collaborate with teams to ensure project milestones and deadlines are met.
5. Confidentiality & Professionalism:
• Handle sensitive and confidential information with discretion.
• Maintain professionalism in all interactions, acting as a trusted representative of the executive.
6. Operational Support:
• Manage expense reporting, budgeting, and invoice processing.
• Assist in organizing events, conferences, and company initiatives.
• Perform general administrative tasks such as filing, record-keeping, and office management.
