- Work with the Senior Management Team, the Senior Marketing and Communications Manager, the Director of Admissions and the Shrewsbury International Asia Director of Marketing to plan and agree the annual calendar of internal and external school events;
- Lead on the delivery of events to a high standard and to deadlines and budgets;
- Ensure that costs for events are properly negotiated and communicated to the relevant stakeholders to agreed budgets;
- Ensure detailed planning is made in good time for events, ensuring day-to-day requirements and logistics are in place for the school's event programme;
- Ensure that event risk assessments and budgets are proposed and approved in a timely fashion by the Director of Business Services;
- Liaise with internal service providers – e.g. maintenance, catering, security, reception, etc., providing relevant information and direction as necessary to ensure smooth delivery of events;
- Work effectively with the Marketing and Communications Manager to identify and secure cost effective external services, equipment, décor items and marketing collateral;
- Proposed and develop event marketing and communication plans in liaison with relevant stakeholders and departmental colleagues;
- Ensure clear and appropriate communication with key stakeholders and relevant parties to within agreed timescales;
- Work with the Graphics team to develop and create marketing materials including invitations, event collateral and event signage that adhere to the school's brand guidelines;
- Develop content briefs for use in the event campaigns, in liaison with the Associate Marketing Manager – Content;
- Work closely with Senior Marketing and Communications Manager and Digital Specialist to all ensure events are appropriately promoted pre and post event;
- Agree all event objectives with Senior Marketing and Communications Manager prior to event and provide post-event review, analysis and feedback;
- Forecast and track event registrations and manage attendee lists;
- Maintain an event tracker, including current stage of progress, allocation of activities, and assessment of risks to delivery;
- Undertake debriefs and evaluation of key events in order to improve the staging of subsequent events;
- Circulate event success reports back to all key stakeholders and interested parties;
- Develop and maintain dual marketing and sponsorship relationships with partners in Bangkok (e.g. Feeder schools etc) and key community showcases locations (e.g. Icon Siam, Destination Hotels etc);
- Identify PR opportunities with partner organisations and collaborate with the relevant colleagues to evaluate and leverage opportunities.
- Undertake ad-hoc tasks and activities as directed by the Senior Marketing and Communications Manager.
- Provide professional event management support and co-ordination to the Associate Marketing Manager – Events, at Shrewsbury City Campus as and when required.
- Actively seek feedback, undertake reviews and perform evaluations to determine the success of events and measure the value of partnerships, proposing change and identifying new ideas as appropriate.
- Possess at least bachelor degree
- Minimum 2 years experience in event planning, executing and management
- Excellent communication skills, with the ability to engage with a variety of stakeholders and audiences
- Resilient and confident manner, with the ability to communicate, influence and motivate others at all levels, both within and external to the school
- Demonstrable project planning and management skills
- Excellent organisational skills and attention to detail.
