Secretary To CEO

A self-starter with strong business understanding and project management skills who is looking for the opportunity to be part of the drive to grow a number of financial and industrial companies at various stage of development. With a “ringside seat” to how strategic decisions are made and how entrepreneurship can be applied effectively. The candidate is expected to be a resourceful and proactive driver of progress, with the ability to work in a dynamic fast-paced environment in order to help manage and support special projects across companies in the group. 1. Manage and maintain daily professional appointments and schedule.

2. Review and prioritize incoming documents. Organizing Board of Directors and Executive meetings.

3. Preparing minute meetings, meeting notes, support materials, drafts of letter and presentations.

4. Represent executive by welcoming guests and visitors both in person and by phone.

5. Organize timeline, work detail and consistency across all team.

6. Monitor and follow up on performance of business activities of interest to ensure all programs are delivered to on time.

7. Be a focal point in consolidating reports, presentations etc.

8. Coordinate with internal and external parties in the arrangement of meetings, training, seminars, and business trips, including facilities and accommodation booking and prepare relevant documents for approval.

9. Able to travel in business trip with CEO (accompany to meetings anywhere)

10. Must have a valid driver’s license and is a competent driver

11. Perform other duties or ad-hoc duties as being assigned.

• Good command of both written and spoken English

• Professional Knowledge & Experiences

• Results and detail oriented with a strong emphasis on problem solving

• Bachelor's degree in business administration or related fields

• 1-3 years experiences in Secretarial, Project Management and/or Project Coordinator for C-level Management

• Well organized, team-work oriented and work well with under pressure are required.

• Excellent personality, self-motivated and proactive and problem-solving skills

• Highly responsible and being able to work under pressure and limited timeline.

• Computer literate in Power Point, Excel and Microsoft Word. Familiarity with ChatGPT is a plus.
