Purchasing Assistant

The Purchasing Assistant reports directly to Purchasing Manager is responsible as part of a team for the effective operation of the school Purchasing Department. In particular, the Purchasing Assistant will
- Conduct and follow the school’s purchasing function according to the school policy and work as part of the purchasing team. In particular
- ensure all purchasing is authorized in advance;
- Liaise with users and departmental heads regarding requirements and specifications;
- raise and control Purchase Orders from approved Purchase Requisitions;
- request quotes and compare prices in order to get the best quality and price as required;
- check invoices on goods received to ensure quantity, quality and specifications are as ordered;
- responsible for Purchase Orders and invoices to be recorded and scanned before submitting to the Accounts Department for payment;
- Assist with the overseas purchasing to comply with the company’s policy and standard purchasing procedure including;
- shipping arrangements are made;
- quotes are approved before ordering;
- customs documentation is raised;
- delivery timelines are met;
- co-ordinate and receive delivery of shipments at the school and distribute to the accurate departments;
- To follow up and receive goods as they arrive at school, checking for any delivery defects, short orders or mistakes and escalating to suppliers promptly for resolution and notifying requestor;
- To maintain updated records of purchased items and documentation;
- To support the logistics and arrangements of major school events e.g. sports day, FOBISIA competitions;
- To support team members by ensuring purchasing documents are circulated to the relevant stakeholders promptly;
- To support the reimbursement process as and when required;
- Assisting as part of the administration team to cover for staff absence, ad-hoc work and periods of high workloads to cover important duties;
- Other related tasks as assigned;
- Other ad hoc duties as requested.
Professional Expectations:
The Purchasing Assistant should have the following qualities
- Thai nationality;
- Bachelor degree, Higher Vocational Education Diploma in any fields;
- Good oral and written communication skills in the English language with the ability to effectively gather and convey information across the wide range of staff and colleagues;
- Experience with MS Word, Excel, Formula, data mining;
- Strong analytical, negotiation and problem solving skills;
- Ability to organize resources and establish priorities involving complex tasks and multiple projects;
- Ideal candidate will be a self-motivated, detail-oriented, fast-learner, who is organized, dedicated, and a team player with good problem-solving skills;
- Positive and pro-active attitude;
- Communication skill, respectful and a service mind is a must;
- Work with integrity, honesty and reliable;
