- Support the Events Manager in meetings with the Senior Management Team, the Senior Marketing and Communications Manager and the Director of Admissions to plan and agree the annual calendar of internal and external school events;
- Work with the academic members of staff and academic administration teams to plan and agree the details, timings and support arrangements needed for internal school events;
- Support and deliver events to a high standard, to deadline and to budget;
- Ensure that costs for events are properly negotiated and communicated to the relevant stakeholders to agreed budgets;
- Ensure detailed planning is made in good time for events, ensuring day-to-day requirements and logistics are in place for the school's event programme;
- Ensure that event risk assessments and budgets are proposed and approved in a timely fashion by the Director of Business Services;
- Liaise effectively with internal service providers – e.g. maintenance, catering, security, reception, etc., providing relevant information and direction as necessary to ensure smooth delivery of events;
- Work effectively with the Events Manager to identify and secure cost effective external services, equipment, décor items and marketing collateral;
- Support the development of event marketing and communication plans in liaison with relevant stakeholders and departmental colleagues;
- Ensure clear and appropriate communication with key stakeholders and relevant parties to within agreed timescales;
- Work with the Graphics team to develop and create marketing materials including invitations, event collateral and event signage that adhere to the school's brand guidelines;
- Work closely with Events Manager, Digital Manager and Content editor to all ensure all campaigns are appropriately promoted pre and post event, including press releases;
- Agree all event objectives with the Events Manager and school department prior to event and provide post-event review, analysis and feedback;
- Work with the Events Manager and the Marketing Coordinator to maintain an event tracker, which details current stage of progress, allocation of activities, and assessment of risks to delivery;
- Support the development of relevant partnerships and sponsorships;
- Manage inventory and supply for events i.e. Team Shrewsbury badges, bear books etc.
- Undertake ad-hoc tasks and activities as directed by the Senior Marketing and Communications Manager or the Events Manager.
- Possess at least bachelor degree
- Minimum 1 years administration experience in an office based work environment
- Excellent communication skills, with the ability to engage with a variety of stakeholders and audiences
- Resilient and confident manner, with the ability to communicate, influence and motivate others at all levels, both within and external to the school
- Excellent organisational skills and attention to detail.
- Strong, practical problem-solving skills
- Ability to work under pressure in a customer-facing role
- Budget management experience would be an advantage
- Flexible approach to working hours
- Experience of managing external suppliers and agencies would be an advantage
