Responsibilities
  • Manage the CEO’s schedule, meetings, and logistical arrangements, ensuring smooth operations, handle confidential information with discretion, draft, proofread, and manage correspondence, reports, presentations, and other documents.
  • Prepare the CEO for business trips, meetings, and events with all necessary materials and briefings.
  • Organize domestic and international travel, including flights, accommodations, and itineraries.
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Translate communications (written and verbal) between Mandarin and English. Manage emails, phone calls, and other communications on behalf of the CEO, prioritizing urgent matters.
  • Assist in tracking and following up on projects, ensuring deadlines and action items are met and organize meetings, conferences, and events, preparing agendas and materials for the CEO’s participation.
  • Handle various ad-hoc tasks as they arise, demonstrating flexibility and adaptability.
Requirements
  • Bachelor’s degree or equivalent, preferably from a top-tier institution.
  • 3-5 years of experience as an executive assistant, personal assistant, or secretary, supporting high-level executives or CEOs.
  • Experience in a multinational corporation or with senior leadership is highly desirable.
  • Fluent in Mandarin and English (both written and spoken); additional languages are a plus.
  • Ability to travel abroad for business purposes on short notice with a flexible schedule.
  • Exceptional organizational and time management skills.
  • Strong interpersonal and communication abilities (both written and verbal).
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent multitasking and problem-solving skills, with the ability to work under pressure.
  • High level of confidentiality, integrity, and discretion.
  • Proactive, self-starter with a positive attitude and adaptability in a fast-paced environment.
  • Strong attention to detail and a commitment to excellence.
  • Preferred: Experience with international travel coordination and understanding of cross-cultural communication in a global business environment.
