Job Specification: Administrative Co-ordinator
(This appointment is for a Thai national only)

Key Responsibilities: The Administrative Co-ordinator will report to the Director of Business Services and be responsible for the following key responsibilities:
● Manage phone calls coming from reception and route them efficiently and accurately to the appropriate persons;
● Support the Sports and Activities team in contacting parents to collect their children after You-Time!;
● Be responsible as part of a team for the effective operation of the administration department;
● Liaise with the Year Team Leaders and Educational Visit Co-ordinators to assist in arranging day trips, residential trips, including managing consent forms, non-attendees, medical forms, bus lists, passport collection, communication with parents, venue preparations and sign out lists;
● Support the organisation of Parent Teacher conferences, including arranging materials for teachers, parent appointment bookings, catering, name badges, and assisting with translation if needed;
● Support school event catering requests, including assessing requests and gaining approval from the Director of Business Services;
● Assist with room booking requests, monitoring usage and releasing resource as necessary;
● Assist with managing the School Post communications module, to ensure that external communications are approved by the Senior Management Team and are in accordance with the school’s communication timelines;
● Support purchasing requests and reimbursements, in liaison with the Purchasing team;
● Deal with correspondence proficiently and promptly;
● Assist with queries from members of staff and parents;
● Assist with routine administrative tasks including updating databases, directories and the school management information system for changes in parent, staff and student personal data;
● Assist with translation between members of staff and parents where appropriate;
● Be available for school events outside normal school hours that require administrative support e.g. Parent Teacher Conferences and other information evenings;
● Assist with ad-hoc jobs and duties as part of the general administrative function of the school and supporting special events e.g. Speech Day, Concerts, Film festival etc;
● Assist in child safeguarding processes including the student registration process, early leave requests, emergency evacuation;
● Assist in providing administration and secretarial assistance to the Senior Management Team;
● Manage Vice Principal, Assistant Principals and Director of Business Services diary and time including;
o Booking appointments
o Coordinating with other staff to arrange meetings
o Acting as the “gatekeeper”
o Receiving and taking care of visitors including assisting with providing refreshments
o Liaising with administrative staff to make travel arrangements
● Assist the Personal Assistant to the Principal in organising the meetings, conferences and events (internal and external) on behalf of the Senior Management Team including refreshments and taking minutes as required;
● Liaise as required with Governors, members of staff (teaching and support), students and parents/carers on behalf of the Senior Leadership Team;
● Liaise with parents, outside organisations and other schools etc., and attend to queries as required by the Senior Leadership Team;
● Assist with the circulation of incoming and outgoing post;
● Undertake other ad-hoc duties and administrative tasks as required by Director of Business Services;
● Coordinate work and duties with other members of the administration team as appropriate;
● Attend school events as required.
