• Serve as the IMD Division's primary point of contact for contract management with local/international vendors, preparing Procurement Requests (PR) with supporting documents, conducting data entry, and submitting purchase requests to acquire products and services for the office. Work closely with IMD team, procurement agents, the supply office, and the resource management team to find solutions for procuring supplies, equipment, and services for the IMD until the process is completed.
• Process travel requests and travel claim vouchers for both in-country and travel outside of Thailand for all IMD staff. Arrange transportation, develop cost-efficient itineraries for transportation and hotel accommodations, and finalize financial reconciliation after the travel has been completed.
• Provide administrative support and event facilitation to the IMD team as directed by the Chief of the IMD or designated persons. This includes creating and preserving official files such as memorandums, as well as keeping an up-to-date information tracking system to provide for quick access and verification of all data, information, and records. Performs other tasks as assigned.
• Serve as the library's secondary point of contact in the event that the primary staff is unavailable.
MAVS Assistant – 40 %
Graphic design support
• Assisting with the fundamental design of visually appealing graphics, illustrations, and layouts for a wide range of digital and print products, including presentations, branding materials, social media graphics, and website assets.
• Ensure the timely delivery of high-quality posters for presentations by managing multiple projects concurrently.
• Assist in the comprehension of project requirements and the timely delivery of high-quality work by collaborating with cross-functional teams.
Audiovisual Support
• Assist in the provision of technical support for audiovisual apparatus, which includes troubleshooting, operation, and setup.
• Ensure the correct operation and availability of audiovisual equipment by maintaining it.
• Ensure that you are informed about the latest trends and best practices in audiovisual technology.
• Assist in the setup of outdoor events, auditoriums, and conference rooms, which includes the arrangement of seats, audiovisual equipment, and backdrops.
Photography and Video Support
• Operate as an essential backup to the primary photographer and videographer by capturing additional footage and images that complement the main content during recording sessions, events, and live productions. This includes actively engaging in setup, adjusting equipment as needed, and quickly adapting to various event dynamics to capture high-quality visual content that aligns with the project's objectives.
• Assist the MAVS Team with Post-Production and Organizational Tasks: Contribute to the post-production process by enhancing the quality and appeal of visual assets through detailed image retouching, advanced photo editing techniques, and precise video editing. Support media management by organizing, categorizing, and archiving files systematically, ensuring easy retrieval for team members and maintaining an efficient workflow for ongoing projects.
