Office Administration & Coordination
•Oversee daily office operations to ensure a well-organized and efficient work environment.
•Manage office purchasing with support from the Purchasing Department.
•Serve as the primary liaison with government agencies, handling regulatory filings, permits, and compliance requirements.
•Coordinate with IT teams in Singapore and local IT outsourcing vendors to ensure smooth office IT operations, including company iPhone management for employees.
•Organize and manage all office events that are not covered by the Communications Team, including planning in-house and off-site activities.
•Ensure office policies and procedures are followed by all employees.
Administrative & Executive Support
•Take meeting minutes, organize agendas, and act as the host for meetings when required.
•Screen and organize documents for the Director’s/Country Manager’s approval, ensuring accuracy and completeness.
•Assist in preparing reports, presentations, and other administrative documents for senior management.
•Handle expense claims for the Country Manager and other senior leaders as needed.
•Coordinate closely with HR on relevant topics, providing administrative support when required.
Travel & Scheduling Management
•Arrange all business trips for the Country Manager, including flights, accommodation, and transportation.
•Manage meeting schedules, calendar appointments, and other administrative tasks for the Director and Country Manager.
Other Responsibilities
•Handle general correspondence and inquiries, directing them to the appropriate departments.
•Organize office events, meetings, and conferences as required.
•Provide administrative support to the management team and staff.
•Perform other tasks as assigned by the Country Manager.
