Executive Liaison and Personal Secretary

Responsibilities:
- Coordinate schedules: Manage personal and business schedules, appointments, and events for family members and executives.
- Travel arrangements: Handle all travel logistics, including visa applications, flights, accommodations, and itineraries for both family and executives.
- Document management: Organize and maintain personal and family documents, ensuring timely renewals for visas, work permits, and taxation.
- Liaison role: Serve as the primary point of contact between family members, executives, and external contacts, ensuring clear communication and collaboration.
- Project coordination: Assist executives with daily tasks, project follow-ups, and act as a liaison with managers on projects related to cost reduction, lead time reduction, and quality improvements.
- Personal assistance: Support personal shopping, errands, household management, and other personal tasks as needed.
- Event management: Organize special events, prepare gifts, and manage holiday greeting cards while ensuring a positive customer experience during visits.
- Confidentiality: Maintain discretion and handle sensitive information with the utmost care.
- Important dates tracking: Keep track of important dates, events, and meetings for all family members and executives.
Key Traits and Qualifications:

- Fluent in English; additional languages are a plus.
- 5-10 years of experience as a personal assistant, secretary, or similar role.
- Bachelor's degree or equivalent experience in administration, business, industrial engineer or a related field.
- Digitally literate and Familiarity with office software tools to able to work efficiently.
- Professional and mature, with discretion in handling sensitive situations.
- Ability to manage confidential information discreetly.
- Smart, proactive, and able to anticipate family needs.
- Highly organized and able to manage multiple tasks in a fast-paced environment.
- Positive attitude, patient, and quick to understand family preferences.
- Excellent interpersonal and communication skills.
- Proven experience in coordination roles with strong follow-up skills.
- Proficiency in time management and ability to work independently.
