1. Communication Facilitation:
• Serve as the primary point of contact between the CEO, board members, and team members.
• Ensure seamless communication flows, keeping all parties well-informed of upcoming commitments and responsibilities.
2. Meeting Coordination:
• Organize and administer departmental and general meetings including project cooperation and annual reviews.
• Prepare meeting agendas, process correspondence, take detailed minutes, and compile summary reports.
• Follow up on action points to ensure effective implementation of decisions.
3. Schedule Management:
• Efficiently manage the CEO’s schedule using appropriate tools like Google Calendar.
• Continuously update and inform the CEO and relevant team members of schedule changes and upcoming engagements.
4. External Communication:
• Maintain professional standards in all forms of communication with auditors, suppliers, customers, and other external entities.
• Handle queries and issues related to shipping, documentation, and shipments effectively.
5. Process and System Implementation:
• Contribute to office management through general clerical tasks and system improvements.
• Manage email correspondence, ensuring clarity, professionalism, and timely responses.
6. Reporting and Research:
• Provide comprehensive reports on various topics by conducting thorough research to understand industry trends and developments.
7. Event and Travel Management:
• Organize internal and external meetings, including arranging all necessary logistics such as venue, materials, and refreshments.
• Plan and coordinate travel and accommodation for business purposes.
8. Project Management:
• Prioritize and manage multiple projects simultaneously and follow through to successful completion under tight deadlines.
- Educational Background: Minimum of a bachelor’s degree in business administration, Communications, or a related field.
- Experience: At least 3 years of experience in a secretarial or administrative role, preferably within a corporate setting.
- Age preferably 25 – 35 years
- High-level written and verbal skills in Thai and English
- Excellent organizational and time-management abilities.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and familiar with scheduling tools.
- Ability to handle sensitive information with the highest degree of integrity and confidentiality.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
- Expert-level written and verbal communication skills.
- Highly resourceful team player, with the ability to also be extremely effective independently.
- Proven ability to handle complex information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
